Concierge

WhatsApp concierge for hotels

Answer every guest on WhatsApp, in their language.

Guests scan a QR code, ask in their own words and get your hotel's own answers in English, Romanian, German, French or Spanish. Your team steps in from a live dashboard, or from the AI assistant they already use, and a person approves every change a guest would see.

No app for guests. No PMS integration. No credit card for the demo.

What Concierge does, in five lines

How it works

How does Concierge work for a guest?

A guest scans your hotel QR code, or the stay QR code your desk issues at check-in, and WhatsApp opens with your hotel already selected. They ask in their own words. Concierge answers from the FAQ your staff wrote, or flags the conversation for a person when the guest asks for one.

  1. Scan

Guests scan the hotel QR in the lobby, on your website or in the booking e-mail. Your desk can also print a stay QR at check-in, which ties the conversation to their room.

  2. Ask on WhatsApp

WhatsApp opens with your hotel selected and a first message ready to send. Guests write in English, Romanian, German, French or Spanish. No app, no menus, no login.

  3. Get the hotel's answer, or a person

The FAQ engine replies with the text your team wrote. Asking for staff raises an escalation in the live inbox, and your reply goes straight back to WhatsApp.

What you get

What does Concierge do for hotel staff?

One place to answer guests on WhatsApp: a FAQ in five languages that replies on its own, a live inbox for anything a person should handle, stay QR codes that tell you which room is asking, consent-aware broadcasts, and the numbers that show which questions you have not answered yet.

  • Escalations land in one queue

When a guest asks for a person, the conversation is flagged and shows who is waiting and for how long.

  • A FAQ in five languages

One question holds its English, Romanian, German, French and Spanish answers, and the next guest message uses your edit.

  • Stay QR codes at check-in

Each stay gets its own QR code, tied to the room your desk issued until checkout.

  • Broadcasts that respect consent

Information and marketing broadcasts over templates approved by Meta, with opt-in, quiet hours and STOP honoured automatically.

  • Excel in, Excel out

Import your FAQ from a spreadsheet and export any list you filter, with phone numbers masked.

  • Analytics that name the gap

Six tiles: the queue, traffic, how much the concierge handled on its own, the questions it could not answer, human takeovers and stay-QR use.

  • An assistant inside the dashboard

Ask the dashboard to read the queue, draft a reply or issue a stay QR code; every change a guest would see waits on an approval card.

  • Seven reports, scheduled

Properties, check-ins, broadcasts, conversations, escalations, staff and FAQ: filtered, charted, exported to Excel, PDF or CSV and e-mailed on a schedule.

  • Roles that match the desk

Admin, Manager and Front desk at each property, and a group admin for the whole hotel group.

Everything Concierge does

AI assistants

Can our staff, and our guests, use their own AI assistant?

Yes. Concierge publishes two connection points built on the open Model Context Protocol. Your team can work the inbox, FAQ, stays and reports from the assistant they already use. Your guests can ask theirs about your hotel and, after proving their WhatsApp number, about their own stay. Every change a guest would see waits for a person's approval.

  1. Who is waiting for a person right now?

  2. Used escalation_list

  3. Two guests are waiting: room 204 for 4 minutes and room 118 for 11 minutes. Room 204 asked about a late checkout.

  4. Reply to 204: late checkout until 14:00 is fine.

  5. conversation_replyneeds your approval

Send a WhatsApp reply to room 204: "Late checkout until 14:00 is fine for room 204. Enjoy your morning."

Nothing has happened yet. It runs only if you approve, and is recorded in the audit trail as you.

  • “Who is waiting for a person right now?”
  • “Show me the last five messages in room 204.”
  • “Reply to 204: late checkout until 14:00 is fine.”
  • Same rights as the person

The assistant uses a short-lived token issued for whoever is signed in. A front-desk seat sees a different set of tools than an admin.

  • One approval per change

Before a reply, a broadcast, a checkout or a deletion, the person reads a summary written by Concierge, not by the assistant, and approves it. Five minutes, once.

  • Recorded as that person

Every action is written to the audit trail as the person, naming the assistant that asked.

  • Assistant Access

    Your team's assistant

Staff connect Claude, ChatGPT or Microsoft Copilot with their normal Concierge login and get only the tools their role allows. Your group admin decides which vendors may connect, and the list starts empty.

  • Guest Assistant

    Your guests' assistant

List your property and a guest's own assistant can read your profile and your FAQ answers. After verifying their WhatsApp number, a guest can see their stays, message you and manage consent. Your WhatsApp number and check-in codes are never shown.

For developers: two servers speaking the Model Context Protocol, OAuth 2.1 with PKCE, published metadata, and a read-only or destructive hint on every tool.

Connect an assistant How AI assistants work

For hotel groups

Can one login run five hotels?

Yes. A hotel group runs its estate from one console: properties, the people who work in them and the seats they hold, the AI assistants the group allows, guests' data requests and seven reports, while each hotel's guest data stays apart from every other hotel's.

  • One person, many properties, one save
  • Seven reports across the estate, on a schedule
  • The group decides which assistants may connect
  • Support visits are read-only, time-limited and in your audit trail

Security and privacy

Is Concierge safe for a European hotel?

Guest data is hosted in the EU, one hotel's records are kept apart from another's by the database itself, phone numbers are masked everywhere staff can see them, service and marketing consent are recorded separately, and every action an AI assistant takes is approved by a person and written to an audit trail.

  • EU hosting

Guest data stays in the EU

  • Kept apart

Row-level security refuses another hotel's rows

  • Privacy by default

Guest phone numbers masked in every screen and export

  • Consent

Service and marketing recorded separately; STOP honoured

  • AI assistants

OAuth 2.1 sign-in, approval before every guest-visible action

  • Audit trail

Every admin action, support visit and assistant write recorded

Questions

Frequently asked questions about Concierge

Short answers about what Concierge is, how it handles languages and consent, how AI assistants fit, what it costs and how long onboarding takes.

What is Concierge?

Concierge is a WhatsApp concierge for hotels. Guests scan a QR code, ask on WhatsApp and receive the hotel's own answers in five languages; staff step in from a live dashboard. It is hosted in the EU and needs no app for guests and no PMS integration.

Does it make things up?

On WhatsApp, no: Concierge answers only with the text your staff wrote in the FAQ, and if nothing matches it says so and offers a person. The assistant your staff use is a model that works your dashboard with your rights, and it cannot change anything without your approval.

Do guests need to install an app?

No. Guests use the WhatsApp they already have. Scanning the QR code opens WhatsApp with your hotel selected and a first message ready to send.

Can our staff use it from ChatGPT or Claude?

Yes. With the Assistant Access module your group admin allows a vendor, and a staff member signs in with their normal Concierge login. Their assistant then sees only the tools their role allows, and every change a guest would see waits for their approval.

Is it GDPR compliant?

Concierge is designed for GDPR: guest data is hosted in the EU, each hotel's records are kept apart by row-level security, phone numbers are masked, service and marketing consent are recorded separately, and STOP is honoured. You remain the controller; we act as processor under a data processing agreement.

How long does onboarding take?

Onboarding is configuration, not a project: we create your hotel, connect a WhatsApp number, import your FAQ from Excel and invite your staff by e-mail. Most of the time goes into writing good answers, not into software.
